We're hiring an Office Manager & Executive Assistant to be the operational backbone of WAD Capital β€” keeping our CIRs supported, our IC cycle on schedule, our deal flow organized, and our Jette office running the way it should. This isn't a calendar-and-coffee role. You'll sit at the center of one of Europe's most active search fund platforms, work directly with the GPs, and have real ownership over how the team operates day-to-day.

What WAD Capital Does

We back experienced operators (CEOs-in-Residence) to find, acquire, and run Benelux SMEs with €1-5M EBITDA. These are family businesses, founder-led companies, succession situations. Our CIRs spend 12-18 months sourcing deals, then operate those businesses for 5-7 years targeting 35%+ IRR.
We are not a large fund with a legal department. We are a lean team of 3 GPs, 15+ active CIRs, and an operations function. The legal work here is real, fast, and consequential, not theoretical.


What This Role Actually Is

We need an Executive Assistant who can run the engine. This is a high-trust, high-autonomy seat. You'll keep the office, the leadership team, and our deal-flow logistics working so everyone else can focus on closing transactions. You'll report to Vincent King, COO, and work daily with the GPs, the CFO, and the full CIR cohort.

What you'll own

  • Calendars and scheduling for the GPs, CFO, and COO β€” including the Monday CIR cycle and Investment Committee

  • IC meetings end-to-end: agenda, room, dial-ins, pre-reads, follow-ups

  • Investment Memo intake: tracking CIR submission deadlines, checking materials are complete and on-format, flagging gaps before they hit the GPs

  • Travel, expenses, and the admin tail that comes with a team that's constantly on the road

  • The Jette office: vendors, supplies, facilities, the small things that compound

  • Onboarding for new hires and incoming CIRs (equipment, access, paperwork)

  • Belgian admin interface: social secretariat, accountant, timesheets, contracts

  • Team offsites, GP dinners, investor visits

  • Internal documentation and office SOPs β€” we want you to improve what exists, not just maintain it

Who we're looking for

3–5 years as an EA, PA, Office Manager, or in operations support β€” ideally in a small, fast-moving environment (PE, VC, law, professional services, startup). English fluency required. Dutch and/or French strongly preferred β€” most Belgian business owners and vendors operate in their local language. EU work authorization required; we cannot sponsor visas.
Beyond the CV: you're comfortable with ambiguity, you build systems where none exist, and you don't wait for instructions. You handle confidential information without flinching β€” deal terms, compensation, investor matters cross your desk daily. Strong Google Workspace, comfortable in Excel.
Nice to have: experience in PE, ETA, or M&A advisory. Familiarity with Belgian employment admin.
